Seats, invites, and roles

Updated 8 July 2026

SalesGhost organizations are how teams share one setup: shared knowledge, team-wide battle cards and scorecards, and per-seat billing in one place. Here's how to get people in and manage them.

Inviting teammates

Invite people from Settings → Team. Each invited teammate signs in with their work email — the same browser-based sign-in flow everyone uses — and lands in your organization with access to everything shared: the org knowledge base, battle cards, and scorecard criteria.

New teammates get productive fast precisely because the shared setup already exists. Their checklist is short: install the app, grant the two audio permissions, connect their calendar, and take a call. The knowledge that powers good answers is already there.

Tip: before inviting the team, spend an hour on the org knowledge base. First impressions of SalesGhost are formed on the first call, and the first call is only as good as the knowledge behind it.

Roles

Organizations have two roles:

  • Admin — manages the team: invites and removes people, manages seats, and owns the org-level setup that everyone shares.
  • Member — uses the product: runs calls, sees their transcripts and scores, and can add knowledge.

Keep at least two admins so nobody is a single point of failure when someone's on holiday and a seat needs adding.

Shared knowledge

Knowledge sources have a scope — personal (just you) or organization (the whole team). Org-scoped sources are the backbone of a team rollout: everyone's live answers draw from the same pricing sheet, the same security overview, the same approved positioning. Details on scope are in adding sources.

The practical rule: anything a teammate would want mid-call belongs at org scope, and someone should own keeping it current.

Managing seats

Seats are managed by admins from Settings → Team. Billing on the Teams plan is per seat (£50/seat/month), so the seat list is also your bill — it pays to keep it honest:

  • Adding someone: invite them; they take a seat when they join.
  • Someone leaves the company: remove them from the team to free the seat for their replacement.
  • Growing the team: if you need more seats than you have, our team sorts it quickly — email support@salesghost.app.

Your current plan and invoices live on the billing page of the web app at salesghost.app — more in plans and trials.

Rolling out to a bigger org

For larger teams — fleet deployment, MDM permission pre-approval, network allowlisting — hand your IT team the managed installs guide. For Enterprise plans and procurement questions, email support@salesghost.app.
